Job Description:

Job Overview: A personal secretary is responsible for providing high-level administrative support to an individual, assisting in managing their daily activities, and ensuring smooth communication and coordination.

Key Responsibilities:

  1. Calendar Management:
    • Schedule and organize appointments, meetings, and events.
    • Keep track of deadlines and remind the employer of upcoming commitments.
  2. Communication:
    • Screen and prioritize incoming calls, emails, and other correspondence.
    • Draft and prepare emails, letters, reports, and other documents on behalf of the employer.
  3. Travel Arrangements:
    • Make travel arrangements, including booking flights, accommodations, and transportation.
    • Prepare travel itineraries and ensure all necessary arrangements are in place.
  4. Document Management:
    • Organize and maintain files, records, and documents.
    • Assist in preparing presentations and reports.
  5. Meeting Support:
    • Attend meetings, take minutes, and provide administrative support during discussions.
    • Prepare meeting agendas and ensure necessary materials are available.
  6. Office Management:
    • Coordinate office activities and manage administrative tasks.
    • Order office supplies and maintain office equipment.
  7. Confidentiality:
    • Handle sensitive information with discretion and maintain confidentiality.
  8. Task Prioritization:
    • Prioritize tasks and deadlines to ensure efficiency in daily operations.

Qualifications:

  • Proven experience as a personal secretary or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in office software and technology.
  • Discretion and the ability to handle confidential information.
  • Attention to detail and accuracy.

Education:

  • A degree in business administration, secretarial studies, MBA or a related field may be preferred.
