Job Description:

There is an Urgent requirement for the Manager/Assistant Manager Logistics for one of the Petro- chemical industry based in Taloja.

Objectives:-

  • Ensure Smooth Functioning of Logistic department.
  • Organize Domestic transportation activities, including managing information accrued from point of Origin to Delivery, Orchestrating transportation movements, and arranging for services as necessary. 

Roles and Responsibilities:-

·         Logistics Planning:

  • Plan, organize and manage the work to ensure that the same is accomplished in a manner consistent with organizational requirements.
  • Direct Inbound / Outbound / CPCPL Logistics operations by organizing Trucks, Tankers / Trailers for domestic dispatches.
  • Container movement from Taloja plant to JNPT port. To have transporters to do the movement on a daily basis 15-20 tankers required for this. To involve no. of fleet operators to do this.
  • Collaboration with other departments for smooth & integrate logistics with business systems / processes, such as Sales, Customer, Accounts, planning & production etc.
  • Discuss and involve other department heads to overcome challenges and implement inputs provided by others with respect to logistics.
  • To coordinate with export department to provide necessary support for export vehicles.
  • Co-ordinate with plant and local sale for arrangement for road permits and legal requirements for all movements within or outside the states if any.
  • Work out for route freight, loading planning, vehicle trip expense, fund requirement etc and fixing of route expense for vehicle trip on different route.
  • Providing the tankers/trucks to the plant as per dispatch order received from local sales dept. Implement schedule and any changes on last movement.
  • Communicate freight transportation information to customers / suppliers/ local sales team/ HOBC team/ our plant people, using transportation management, electronic logistics marketplace, or electronic freight information system to improve efficiency, speed and quality of transportation services.
  • Arrange the support document to providing billing department ie. ORDF, LR copies, Tankers document checklist, Commercial document checklist, Term card, COA, Calibration certificate, Fire extinguisher, First-Aid box.
  • Inbound transaction of packing materials follow with purchase department and Import Raw materials and check the document. If necessary, generation of E-way bill for transferring materials from UPCL / Kherdi storage location.
  • Review Global, National and Regional transportation / logistics reports for ways to improve efficiency or minimize the environmental impact of logistic activities.
  • Analyze the financial impact of logistics to determine most cost-effective / efficient means of transporting and changes such as routing, shipping / road modes, product volumes & mixes or carriers.

·         Vendor Management:

  • To develop new vendors of tanker transporter for inbound as well as out bound min 9-10 transporters.
  • All contractors of vendors need to be vetted thoroughly.
  • Vetting of all transport bills.
  • Taking proper action in case of pilferages/shortage/theft, penalty should be implied to the vendors.
  • To make yearly contract with transporters.
  • Rate to be finalized on monthly basis.

 

·         HOBC Vehiclemanagement:

  • In-transit tracking through G-TRAC software. To check the seals & locks after loading of material.
  • Before loading vehicle: -Check tanker’s tyre with as per diagram, tanker’s condition and get oral abrasion from the driver.
  • Making trip sheet with details of Driver name & contact number, Trip advance, BPCL-Diesel, Toll, Odometer reading & closing, reached date, unloaded date, detention, shortages and in-transit repairing details.
  • After trip completion: - Check tanker’s tyre with as per diagram, tanker’s condition and mail closing trip sheet to HOBC (Bandra). Also track and report if any delay or shortages.
  • Attending the emergency break-down works of HOBC vehicle while in transit.
  • Controlling head for vehicle operation, tracking (GPS System), unloading and route expense, vehicle trip sheet checking.
  • Maintain the HOBC fleet of vehicles and garage. Keep all HOBC vehicle in operation condition at all time.  Required repairing of vehicle if any, to be carryout with the consultation and suggestion of garage mechanic and spares to be purchased with approval of HO only.
  • Any change of road direction should be immediately report to concerned persons.

·         Record keeping:

·         Daily report generation of Domestic dispatches. To prepare monthly detention report and submit to HOBC (Bandra).

·         Daily keeping record of UPCL / Kherdi – CPCPL local trip record and Export trailer trip record.

·         Maintain the Job card for every repair work, before getting the approvals. Vendor’s payments follow-up for repaired vehicles.

  • Maintaining the consumption record for Engine oil, Gear oil & Grease.

·         In-transit expenses submission to accounts: -Cash payments details of Trip advance, daily Bhatta, Border / State cases.

·         Maintaining Monthly MIS Reports as agreed and approved by the management.

·         All communication should be done in e-mail with cc to all the concerned persons.

  • Submission of all out/inbound vehicle and dispatch report, Logistic operations and HOBC garage report to Head Office on daily basis.
  • Co-ordination with processes and systems, related to Accident Reporting, Accident repairing and Insurance Claim Settlement, Assessing Damages, dealing with Surveyors for Assessment.
  • Track all dispatches and all vehicles available for loading (including maintenance) and report on daily basis to management.
  • Details of loaded standing tankers of all transporters including HOBC and details of tanker repair work if any to be maintained /given as per the enclosed format.

 

Preferred Skills:

         i.            Good inter-personal, Negotiation & Presentation skills, a team player in every aspect of supply chain.

        ii.            Forward thinker, quick follow through, sound Decision making, able tohandles pressure& shows honesty in all dealings.

Qualification:

Min. Diploma / Graduation  (Preference: specialization in Logistics / Supply-chain)

Industry:

Manufacturing (More preference will be given for Petro-Chemical / Oils / Petroleum Sector)

Computer skills:

Tech savvy with latest Microsoft office, Outlook messenger& basic ERP system

Linguistic skills:

Oral & Written proficiency in English, Hindi with preference to Local language (as per deputed work location)

Work Conditions:

Dealing with transporters and ensuring vehicle movements.
